Treatment Coordinator – General Dental Practice

About the Role:
As our Treatment Coordinator, you will be the bridge between our clinical team, insurance
coordinator and patients, helping to ensure every treatment journey begins with clarity, comfort,
and confidence. You will play a vital role in the new patient experience, working closely with
our doctors, hygienists, and assistants to create and present comprehensive treatment plans
tailored to each patient’s needs.
Key Responsibilities:
• Collaborate with the clinical team to gather and communicate patient information
efficiently and accurately.
• Check out patients at the conclusion of their visit, confirm that follow-up appointments
are scheduled, and clearly communicate any next steps or instructions to ensure
continuity of care. Clearly explain treatment recommendations, procedures, timelines,
and associated costs in a way that builds trust and encourages informed decisions.
• Present financial options and assist patients in understanding and arranging payment
plans that fit their lifestyle.
• Foster a welcoming and calm environment, particularly for patients who may be anxious
or concerned about treatment affordability.
• Coordinate referrals and follow-ups with specialists and medical offices, ensuring a
seamless continuum of care.
• Support the accounts receivable process by professionally following up with patients
regarding outstanding balances through phone calls and correspondence, including
sending timely collection letters when necessary.
• Follow up with insurance providers prior to patient appointments to ensure accurate
treatment estimates and minimize financial surprises for patients.

JOB SPECIFIC RESPONSIBILITIES
• Be present during comprehensive exams to understand patient treatment needs.
• When necessary, be present during re-care exams to understand patient treatment needs.
• Ensure patients understand their treatment plan.
• Handle objections to proposed treatment.
• Present case fees and financial options to patients to facilitate the decision to say “yes.”
• Present or co-present the treatment plan and consent.
• Educate patients, as necessary, regarding their dental benefits.
• Determine dental benefit eligibility, limitations, and payment estimates necessary to
facilitate financial arrangements.
• Follow up with patients if no appointment was made; follow up when a patient has
cancelled with no new appointment made.
• Ask satisfied patients for a referral/online testimonial.
• Proactively communicate with the back office so they know any changes in the patient’s
financial status.
• Participate in huddles by providing vital information for customer service and case
acceptance.
• Fully utilize administrative time to prepare for the next day.
• Embody the practice philosophy in all actions and decisions.
